Approval Actions (Approve / Approve with Changes / Reject)

Approval Decisions
How approvers record decisions and how coordinators manage approval notifications.

Technical Approval (Technical Owner)
  • Approve
    Records technical approval and automatically routes the renewal to the Budget Owner for final review.
  • Approve with Changes
    Sets the renewal status to Pending Change and sends the renewal back to the Coordinator for updates.
  • Reject
    Sets the renewal status to Rejected and notifies the Coordinator. The workflow stops unless restarted.
Notes are required for all Technical approval actions and should clearly explain the decision.

Budget Approval (Budget Owner)
  • Approve
    Sets the renewal status to Approved and completes the approval workflow.
  • Approve with Changes
    Sets the renewal status to Pending Change and routes the renewal back to the Coordinator.
  • Reject
    Sets the renewal status to Rejected and notifies the Coordinator. The workflow ends.
Budget approval notes should clearly explain funding concerns, constraints, or required changes.

Resending Approval Notices (Approval Hub)

If an approver has not acted or needs the approval email resent, Coordinators and Admins can
resend the approval notice directly from the Approval Hub.

When Resend Is Available
  • The renewal status must be Pending Approval.
  • If Technical Approval has not occurred yet, the resend will go to the Technical Owner.
  • If Technical Approval is complete but Budget Approval has not occurred, the resend will go to the Budget Owner.
  • If the renewal is Approved, Rejected, or Pending Change, the resend option is disabled.
How to Resend an Approval Email
  1. Navigate to the Approval Hub.
  2. Locate the renewal with status Pending Approval.
  3. Click the Resend button in the Resend column.
  4. Confirm the success message indicating the email was resent to the current approver.
Best Practice: Use Resend sparingly. If approvals are delayed, consider following up via
Slack/Teams before resending multiple emails.
Resending an approval does not reset workflow state or approval history—it only reissues the
notification email to the current approver.

Summary: Approvers act once per step. Coordinators manage corrections and communications.
The Approval Hub provides visibility and controlled re-notification without restarting the workflow.
